within the Office of Clinical Scheduling

Position Summary
The Clinical Student Administrator (CSA) plays a critical role in supporting medical students during their clinical years by ensuring timely placement in core and elective clerkships at ACGME-approved clinical training sites that meet University requirements.
This position manages assigned cohorts of students from the end of Term 5 through graduation, ensuring accurate enrollment, compliance with licensure and residency requirements, and steady progress toward degree completion.
The CSA serves as a r esource for students, faculty, and staff, providing guidance, support, and advocacy.
This individual ensures all interactions with students are documented in Salesforce and/or CSM for accuracy, continuity, and accountability.
Reporting to the Senior Associate Director of Clinical Education Operations, the CSA works under general supervision, exercising initiative, judgment, and student-centered service.
Essential Functions
Student Support & Advising
+ Serve as the primary point of contact for clinical students based on alpha cohort.
+ Provide one-on-one and group support to medical students via in-person meetings (on-campus) , phone, video conferencing, and email, ensuring coverage throughout the day in collaboration with peers.
+ Conduct bi-monthly check-ins with each assigned student to review progress, answer questions, and guide them through meeting graduation requirements.
+ Document all student interactions and case management details in Salesforce and/or CSM.
+ Advise students on licensure and residency requirements and connect them with University resources to promote success.
+ Act as a student advocate by helping resolve issues and escalating concerns appropriately.
Scheduling & Data Management
+ Schedule students for core and elective rotations; monitor and update schedules to maintain accurate enrollment reporting.
+ Ensure students meet and maintain eligibility requirements (health documentation, compliance standards, etc.) prior to clerkships.
+ Update and maintain student records in CSM and related systems, scanning documents into enterprise content management platforms.
+ Conduct weekly reviews of reporting tools to identify and close gaps in student schedules.
+ Collaborate with the Office of the University Registrar to ensure graduation eligibility requirements are met.
Collaboration & Communication
+ Partner with faculty, clinical site staff, and University departments (Admissions, Registrar, Bursar, etc.) to streamline processes and ensure students receive consistent, high-quality support.
+ Provide updates and insights to leadership regarding student progression, schedule management, and systemic challenges.
+ Contribute to University workshops and student events to enhance the student experience.
Compliance & Reporting
+ Access and analyze key reports to ensure timely progression of students through clinical years.
+ Maintain compliance with institutional policies, accreditation standards, and licensure/residency regulations.
+ Evaluate and verify student status using system research to ensure due diligence.
Professional Development & Other Duties
+ Participate in annual Medical Education Coordinator workshops and ongoing training.
+ Manage responsibilities proactively while supporting broader departmental initiatives.
+ Perform other related duties as assigned.
Knowledge, Skills & Abilities
+ Strong proficiency in Microsoft Office Suite, enterprise resource systems, and content management platforms.
+ Advanced ability to manage data and create/update Excel documents.
+ Demonstrated ability to research, analyze, and generate accurate reports.
+ Strong written and verbal communication skills, with the ability to present information clearly to diverse audiences.
+ Skilled in case management and documenting interactions in enterprise systems ( Salesforce and/or CSM strongly preferred ).
+ Ability to work independently and collaboratively in a fast-paced environment.
+ Familiarity with NBME, ECFMG/USMLE, and international licensure guidelines desirable.
Qualifications
+ Bachelor’s degree required ; relevant experience in medical education or a high-volume student services/customer service field may substitute for degree.
+ 2–4 years of prior experience in education, counseling, or a related field preferred.
Hours & Travel
+ Standard full-time work week: Monday–Friday, 9:00 a.m.–5:00 p.m. (time-zone dependent).
+ Overtime may be required during peak periods; flexibility in scheduling is expected.
+ Travel may be required .
