The Manager of Admissions Operations oversees day-to-day admissions operations across Medforth Global Education (MGE) Admissions team.
This role manages Senior Admissions Coordinators and Admissions Coordinators, ensuring operational accuracy, efficiency, and consistency across the admissions lifecycle.
This position reports to the Director of Admissions Operations
The Manager ensures that applicant files are processed with data accuracy and compliance, while providing leadership, training, and coaching to coordinators.
The position works closely with the Director of Admissions Operations and other admissions leaders to ensure admissions process are efficient and aligns with enrollment goals to deliver an exceptional applicant experience.
Essential Functions
Leadership & Supervision
+ Supervise, mentor, and evaluate Senior Admissions Coordinators and Admissions Coordinators.
+ Manage workloads, monitor performance, and ensure service standards (response within 24–48 hours) are consistently met.
+ Provide guidance and escalation support for complex applicant cases.
+ Ensure coverage during staff absences to maintain seamless admissions operations.
Operations & Process Oversight
+ Oversee the daily processing of applications, documents, and communications by coordinators.
+ Ensure data accuracy of applicant files across all systems, including Salesforce and Banner.
+ Monitor workflows and ensure applications are complete, compliant, and committee ready.
+ Identify and resolve operational bottlenecks, escalating to the Director of Admissions Operations when needed.
Reporting & Data Integrity
+ Support the Director of Admissions Operations in maintaining accurate reports and dashboards for coordinators and admissions leaders.
+ Regularly review data for errors or inconsistencies and implement corrective actions.
+ Provide operational insights to support forecasting, yield management, and process improvement.
Training & Development
+ Oversee onboarding and training of new Admissions Coordinators and Senior Admissions Coordinators.
+ Provide continuous coaching to staff on admissions knowledge, communication, compliance, and file management.
+ Promote professional growth and best practices in admissions operations.
Conversion & Accountability
+ Directly responsible for achieving individual goals, while also contributing to overall team goals through timely and accurate communication with applicants.
+ Own the document submission process for assigned applicants, ensuring all required materials are collected from application through enrollment; monitor progress, resolve issues, and escalate concerns to admissions leadership as needed.
Collaboration & Cross-Functional Support
+ Partner with Admissions Officers, Recruiters, and Financial Aid staff within pods to ensure coordinated, student-centered service.
+ Collaborate with the Registrar, Bursar, and Student Services to ensure accurate applicant handoffs and smooth transitions.
+ Assist the Director of Admissions Operations with enterprise-wide projects, compliance initiatives, and audits.
Other Duties
+ Ensure continuity of operations by providing coverage during absences of key staff.
+ Perform additional duties and special projects as assigned by leadership.

Knowledge, Skills & Abilities
+ Strong leadership skills with experience supervising staff in admissions or higher education operations.
+ Deep commitment to data accuracy, compliance, and applicant experience.
+ Excellent communication, coaching, and mentoring abilities.
+ Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
+ Proficiency with Salesforce, Banner, or comparable CRM/ERP systems.
+ Analytical skills with the ability to interpret reports and support data-driven decision-making.
Qualifications
+ Bachelor’s degree required.
+ 5–7 years of progressive admissions or student services experience.
+ Minimum 2–3 years of supervisory experience, preferably in admissions or enrollment operations.
+ Experience with CRM/ERP systems (Salesforce, Banner) strongly preferred.
Work Environment & Physical Demands
+ Professional office environment with frequent use of computers, phones, and virtual collaboration platforms.
+ Ability to maintain focus and accuracy in a high-volume setting.
Hours & Travel
+ Standard work week: Full-Time, Monday–Friday, 9:00 a.m.–5:00 p.m.
+ Flexibility for evenings and weekends during peak admissions cycles.
+ Occasional travel to MGE University campuses may be required.
